Job Description

Position Overview

The Event & Fundraising Coordinator plays a key role in advancing the Aquidneck Island Land Trust’s mission to conserve open space and natural resources through exceptional event planning, donor engagement, and fundraising execution. This position manages all aspects of the Land Trust’s mission-driven events—including the Evening at Home, our major fundraiser, the Annual Golf Tournament, Cultivation Tours, small donor-hosted events, and other community gatherings—while maintaining high standards of organization, accuracy, and donor stewardship.

The role requires a dynamic, detail-oriented individual who can balance logistics, creative strategy, and relationship-building to deliver successful events that inspire community support and generate revenue for land conservation.

Primary Responsibilities

  • Event Planning & Execution
  • Plan, coordinate, and execute all fundraising and cultivation events from conception through post-event follow-up.
  • Manage event logistics including venue coordination, catering, rentals, permits, sponsorships, volunteers, and on-site execution.
  • Develop event budgets, track expenses, and ensure fiscal responsibility and adherence to fundraising goals.
  • Coordinate with Finance on appropriate donation coding & recording of transactions in CRM software, including monthly reconciliation.
  • Collaborate with Executive Director, Development Director, Board members, event CoChairs, and Committees on event strategy, themes, and donor engagement.
  • Ensure seamless guest experience and brand consistency across all touchpoints.
  • Manage event setup and breakdown, ensuring a professional presentation that reflects the Land Trust’s mission and values.

Fundraising & Donor Relations

  • Maintain accurate and up-to-date donor and sponsorship information in the CRM database.
  • Track donations, sponsorship commitments, and in-kind contributions; generate timely acknowledgments and tax receipts.
  • Support donor cultivation and stewardship efforts by coordinating invitations, personalized correspondence, and follow-up communications.
  • Partner with development staff to align event fundraising strategies with annual giving, membership, and major gifts programs.

Marketing & Communications

  • Coordinate marketing materials, invitations, press releases, and social media campaigns for events.
  • Ensure consistency in messaging, tone, and brand identity across all outreach channels.
  • Collaborate with designers, photographers, and vendors to produce high-quality promotional content.

Project & Data Management

  • Maintain detailed event timelines and ensure deadlines are met.
  • Provide accurate event and fundraising reports to leadership and committees.
  • Utilize CRM software (Raiser’s Edge) for donor management, segmentation, and analytics.

Key Skills & Qualifications

  • Bachelor’s degree in Communications, Marketing, Nonprofit Management, or related field preferred.
  • 2–3 years of experience in event planning, fundraising, or donor relations, ideally in a nonprofit setting.
  • Strong organizational and time-management skills with the ability to multitask and manage competing priorities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency with CRM and donor database systems.
  • Experience managing event budgets and vendor relationships.
  • High attention to detail with strong proofing and follow-up skills.
  • Initiative, creativity, and a collaborative team spirit.
  • Willingness to work flexible hours, including evenings and weekends, around key events.

Work Environment & Compensation

This is a full-time position based in Middletown, RI. The role involves occasional local travel to event sites and donor meetings. Competitive salary commensurate with experience. benefits package available for eligible employees.
